How to deal with budget variances

Business budgets require a lot of work to create, and in order for a budget to function properly your business will need to stick to the budget as closely as possible. However, even the most closely followed budgets can end up with some type of budget variance at one time or another. If the variance is in your favor, it is often recorded that the budget is FAV (favorable). Or, if the budget is actually against your, then it is recorded as being ADV (adverse). Budget variances can occur because of a lot of different things. For example, external influences can dramatically change your budget and create a variance - and sometimes these external influences could not have been predicted. There are a couple of things that you can do to effectively deal with budget variances. Here are some of the things that can help you to better deal with those budget discrepancies:

1. Small variances: If you have very small budget variances, you actually should not be too worried. In fact, it is a little bit expected to expect a little bit of variance between your actual budget and the figures that you end up with. With these extremely small variances, you really can overlook them without having horrible consequences for your business. So, with small variances, the best way to deal with them is simply take them into stride.

2. Adverse variances: If you have a negative variance in your account and it is significantly large, the first thing to deal with is to conduct an investigation right away. Find out why there is such a different between your projected budget and the actual figures. Was the situation caused by an external influence or do you still have some control over the money? Then, once you know the cause of the negative variance, the next thing to do to is to see if any of the money can be recovered. There might be situations where there is still time to recover some of the money that was lost. However, even if this isn't possible, it is still important to find out the reason why the loss was caused. This way, you will be better prepared to deal with the prevention of a similar situation in the future.
3. Rewrite the budget: Sometimes after having an adverse variance and finding out the cause for it, you will find it necessary to rewrite the budget. Rewriting the business budget sometimes is a necessary step to take when dealing with budget losses, particularly if the cause of your variance looks like it will become a trend. For example, perhaps the cause of your adverse variance is that the demand for your product has gone down in the market. If this is the case, you will need to rewrite your budget to compensate for this lower demand.
4. Favorable variances: If you have a favorable balance, the first thing to do is not take the money and give everyone a company bonus! You still need to deal with the favorable variance by conducting an investigation. Find out why the variance was so favorable. In addition, examine ways that the variance could be made even more favorable in the future! You might be able to turn this favorable variance into a permanent occurrence if you are smart! If necessary, you also may need to rewrite your budget so that your favorable variance will be accounted for permanently.
