Implementing a new business process management team

Business process management is an area of knowledge somewhere between management and information technology. It combines all of the methods and techniques from both areas to design, control, and analyze your operational business process. Your business process include human interaction, applications, documents, services, and any other type of information that goes into your company to help it run on a daily basis. The business process management system is designed to help you manage the daily operations of your company and if necessary to improve your business process.

This has been going on for a long time, but before the introduction of business process management software it was analyzed by managers, which can influence things by their own feelings and experiences. Software programs give you the recommendations based on the data that it has received, no feelings or intuitions go into account. Managers can always view the data the program provides and then make decisions based on part by hard data and their gut instincts.

The business process management system is broken down into three categories: process design, process execution, and process monitoring. By looking at these three categories as a whole you can determine if your business processes are working for your company to the best of their ability or if you can make improvements on them.

To analyze this data you are going to want to implement a business process team. Their sole job should be to look at the business process to be sure that the company is running as smoothly as possible. If there are improvements that can be made it should be up to this team to implement those changes.

To pick the right kind of team you need to look for a variety of traits. Since this system needs people experienced in management and information technology you are not going to want a person who has no understanding of computers.

Some traits to look for:

Trait one:
Strong leadership skills. These people are going to be another level of management so they are going to need to have management skills.

Trait two:
Working knowledge of the entire company. This includes all jobs that are performed in the company from janitorial to upper management.

Trait three:
High understanding of information technology. Being that this team is going to be using data provided by a computer and will have to be entering some of the data into the system you want them to have more than a basic understanding of computers.

Trait four:
Good people skills. Because this team is going to have to suggest ways to make the improvements necessary you are going to want to have people who know how to communicate effectively.

Once you have picked the right people for this team you need to put them to work. An easy way to do this is to assign a certain person a range of processes to analyze. Therefore these people are responsible for a certain part, so that nobody becomes overwhelmed. For example you can assign human resources and payroll to one person, accounting to another, and so on and so forth.

When you first set up this team you may want to simply start with the systems that you think need to be improved. This will also help test your new software and test your team at the same time. If they do a good job with the improvements of the first process you might think about letting them examine the business as a whole.

Just remember this is a process and you might not get it right the first time around. If things do not improve you may have to take another look at your team or at the software you are using.
