Organizing a small business so it makes sense to you

You have a small business that needs some organization. You aren't sure where to begin or even what exactly needs to be done, you just know that it needs to be done. There are a few things that you can do to make sure that your small business stays organized and manageable.

Where to start?Start with some goals.Setting goals gives you a place to aim, instead of just saying you are going to get organized.Your organizational goals should be in different categories. These could include organization of your office, accounts, files, records, or finances. Each needs to be tackled separately and with different goals set.

Office

This may be that your office doesn't seem big enough or that you never get anything put in its right place.First of all make sure that you are utilizing all of the space that you have.If you are using the space to its best then think about adding more storage, maybe shelves up high or longer shelves. It may be that your desk is overcrowded, see what little office supplies can be put away and only pulled out when you use them.It may also mean rearranging the office furniture so that you are getting the most out of each wall and hole.

Accounts

Have your accounts divided in a way that you understand them. The divisions can be into main categories and then smaller sub categories or maybe you work better if they are all separate.Make sure that your divisions make sense to you and that anyone working with them understands them too.Be sure that there is written and updated information on the accounts.Keep past records for future reference. If you feel like you have too many paper records, keep them in your computer.

Files and Records

You may or may not have a filing system.Look over that system and see how often you have trouble finding a specific document. If it is a common occurrence to have a lost file then maybe it is time for a new system.Keep records for as long as you need, then you can either destroy them or keep them somewhere out of the way, like a storage unit or closet. If you are overloaded with papers, scan them into the computer and create an electronic filing cabinet. This can cut down overcrowded office space, and some people find it easier to find things on the computer.

Finances

You should have all of your money set into a budget. You will probably have an overall budget, but that needs to be broken down.Separate and allocate the money to where it is needed.Have budgets for marketing, production, development, overhead, and anything else that your business entails. If you are trying to work with just the overall budget you are going to struggle to stay on budget and see where your money is going.Make sure that you are using your finances to the fullest.

When your business starts to become organized then other things will seem to fall into place. When management is organized then the employees will follow their examples. If your office or store is organized then you will have much happier customers and that will bring in more repeat business.

There is no set way to organize your small business, just organize it so that it makes the most sense to you. After all, you are the one who needs to know what is going on!Organization is determined by the organizer.
