What is Business Process Improvement?

BPI is designed to help businesses understand how to simplify processes, in order to make them cost effective. This also helps businesses find ways to reduce their excess waste,and build a stronger reputation for the company. There are 3 main parts of Business Process Improvement. These parts are-

1. Having the end result produce desired results
2. Significantly reducing costs and materials that are used to produce products
3. Using a process capable of changing to fit the needs of the customers and the business
BPI focuses on changing the overall performance of a business,rather than small things. Instead of correcting errors and constantly monitoring employees, the method will remove things that could be causing problems. The end result is to be a customer-driven manufacturing business that looks for ways to simplify processes. This includes:hiring quality employees,that can help the company reduce variations. Keep in mind that in order for BPI to streamline processes and simplify processes, you need to follow these rules:

  • The entire organization must believe that a change can be made,and that it can benefit the performance of the company. In addition, everyone at the company must support BPI and work together to make it become successful.

  • Everyone in the organization must be able to see the future plans of the company,and they must be able to understand how BPI will help them obtain these plans.

  • Any barrier that hinders the production process will need to be removed.

  • Managers will set the example for everyone else. This will include; holding regular training meetings for employees and teaching them new skills.

  • You must be able to clearly identify how you are going to measure the results.

  • You must be able to provide feedback to every employee, and speak to employees that are not currently performing their job duties correctly.

  • You must have a reward system to reinforce BPI.

It is important to understand that when you implement BPI, you are looking at your manufacturing company,through your customers eyes. This means that you want to look for things that a customer would notice,and predict changes,that could help your business grow. BPI will also help streamline processes,by building relationships within the company. It works to keep employees focused on their specific job duties,and it reduces errors. Management must be involved and set the standard for the employees, in order for BPI to work.It is important to realize that BPI is not a short-term commitment; it is a long-term commitment to changing the way your company does business.

If your employees are having a hard time with BPI, you can start small. You can begin with small changes that can be made that will have an impact, in a short time frame. What this does is that,if employees can notice a quick change, they normally are willing to start implementing those changes. People often resist change because they are afraid of layoffs. You will want to reassure your employees that this is not a weeding out method,to find out which employees will be kept. BPI is simply a way to change the way you do business.

The bottom line is that BPI is a way to please your customers,and increase your productivity,by simplifying and streamlining processes. There are some guidelines that will help you be successful when implementing BPI. These are-

  • Set timelines for your employees so they know what is expected of them.

  • Look towards the future of the company, and do not focus too much on the short term.

  • Do not invest more than you can afford.

  • Make sure management is involved in BPI or it will not be successful.
