How to keep your fax machine working

or many businesses, sending faxes is a crucial part of the day in the life of an employee.Without the handy dandy fax machine, orders would not be sent, customers would not be happy, and bills would not be paid.Let's face it.We all rely on the fax machine to keep our businesses running. But what happens when they break?Does your business fall apart? How can you keep your fax machine working properly?

Here are five steps to keeping your fax machine working well through proper maintenance:

1. Keeping your fax machine healthy is a process that begins when you first buy your new machine. The first step is to get your owner's manual out and read the entire thing from cover to cover. This is the first step to working with any electronic device. It will give you ideas on how to maintain your fax machine, send and receive faxes, fix broken parts, etc.Read your manual!
2. Clean your fax machine often.Use canned air and a lint free cloth to clean your machine. This does not need to be done daily, but if you use it often it should be cleaned regularly from top to bottom (perhaps once a week).Blow all of the dust out of all of the cracks and corners.
3. Run the self-clean cartridge function from time to time. This cleans the dried ink from the heads on the cartridge.Again, this does not need to be done daily, but should be used in order to prolong the life of your machine.Your owner's manual should have exact instructions for how often to do it and how to run the function.
4. Clean the cartridges yourself.Do this whenever you dust your machine off.Use a lint free cloth and wipe everything off.Replace the cartridge if need be.
5. Check the paper supply.Put new paper in the machine every once in a while. This prevents the paper from getting wrinkled or dusty and then jamming the fax machine.
6. Turn the machine off occasionally.Machines, like people, sometimes get tired. It might be a good idea to unplug the machine and shut it off for a while.

However, you might be unaware that there is new technology that makes faxes much less expensive and time consuming. It's called internet faxing and is a good idea for anyone who sends and receives a lot of faxes, spends a lot of money on fax supplies, is sick of tying up a phone line with a fax machine, or simply wants an easier way to fax.

This is how it works: an internet fax is sent via the Public Switched Telephone Network (PSTN) on the fax server which receives the fax and converts it into PDF or TIFF format, depending on the preference of the user. The fax is then sent to the web server which posts it in the Web interface on the account of the subscriber, who is then alerted to the reception by an email containing the fax in an attached file and sometimes by a message on his mobile phone. It goes from your computer to the internet to a fax gateway to a phone line then to the recipient's fax machine.

So if you're looking for an easier way to send faxes that doesn't require an actual fax machine, you may want to investigate internet or even email faxing. Then you don't even have to worry about keeping your fax machine working because you don't have one to worry about. Now don't you think that would be very nice?
