How to delegate tasks to the employees that you manage
Effective business managers understand that importance of delegation. Business managers who are afraid to delegate or simply don’t know how; often find themselves burned out with the day to day demands of managing their business. This makes delegation crucial to the long term management of any business. However, it is important to understand that delegating is not just giving out tasks to whoever comes along. The chances for a successful completion of assigned tasks go up when you take the time to follow certain steps. Here is what you need to know about how to delegate tasks to the employees that you manage-
The most important step is to be very clear on the abilities of the people who work for you. You want to make sure that you have chosen the best person to delegate the task to. This means that business managers should take the time to carefully go over the capabilities of everyone who works for them. You can do this in a number of different ways. You can personally interview potential candidates or even send out a skills survey. However, you choose to find out what your employees are capable of you want to end the process by knowing not only their skills, but what he or she thinks they can handle, their goals, and how well they take direction. Once you know this you will be able to choose the right person to delegate to.
There are certain questions that can help you to narrow down the selection and make sure that you have chosen the right employee to delegate to. These questions are-
• Does the employee have the right job knowledge? Keep in mind that an employee who works closely with your customers or suppliers may even have more knowledge about the task then the business manager.
• Will this experience provide the employee with some job growth? It is important to provide employees with experiences that will enable them to grow in their jobs and become more valuable to your business. Not only will they have higher job satisfaction but your business will benefit from their experience.
• Will the employee operate with the business’ best interest in mind? You want to make sure that you delegate tasks to employees who are willing to work with the business’ best interest in mind and not just their own. The employee should think about what is best for the business.
• Is this employee dependable and reliable? You want to be sure to delegate tasks only to employees who you know are reliable and will follow through. While you will still need to manage them you don’t want to be stuck worrying about if they will really complete the delegated task.
• Will the employee you delegate the task to be able to think on their own? It really doesn’t do you any good to delegate a task to someone who has to constantly come back to the business manager for feedback. It is important to make sure that the employee can think on their own and make decisions that are related to the delegated task.
Now that you have chosen an employee to delegate task to there are certain guidelines that will help to make the entire experience productive for both you and the employee that you delegate to. These guidelines are-
• Be very specific in what you want done-You want to make sure that you are extremely clear with your directions.
• Reduce the confusion-Whether its written instructions or some other method successful delegation means reducing confusion.
• Let it go-Now that you have delegated a task its time to let it go. Trust that you have made the right choice in the employee that you have chosen to delegate to.
